The order lifecycle at a glance#

Six statuses carry an order from the POS to the customer. Both apps show the same lifecycle: the CRM as badges, the driver app as card states.

Quick answers#

An order shows Unassigned. What do I do?

Three possible causes. Its postal prefix has no active zone; the zone has no driver at all; or — most commonly — the zone does have a driver but that driver is currently unavailable, which makes auto-assign skip the whole zone. Check the Available column in Staff first, then the mapping in Zones, then run Sync & Assign on the Dashboard. Known gap prefixes: 18, 19, 37.

A driver called in sick. How do I move their route?

Two different jobs. For the stops already on their list today, use Reassign Driver and leave the Mark unavailable for the rest of today box ticked — that also stops auto-assign handing them anything else today, and clears itself overnight. If they will also be out tomorrow or longer, book those days in Leave as well, because reassigning does nothing for future dates. See what a reassignment actually does.

A driver is back from leave. Do I need to switch them back on?

No. Leave is recorded against specific dates, so when the last booked day passes they return to their zone automatically on the next assignment run. The same is true after a reassignment — the “unavailable for the rest of today” flag expires overnight by itself. The only setting that needs a human to undo it is the Unavailable toggle on the Staff screen.

A whole area got no drivers this morning. Why?

Almost always the zone's primary driver is switched off. Open Staff and check the Available column: Unavailable means auto-assign is skipping them indefinitely and their zone receives nothing until someone switches them back. If they have left the round for good, give the zone a new primary driver in Zones instead. Supervisors get a WhatsApp the first time a zone goes uncovered each day.

A customer says the parcel never arrived.

Search the order in Orders, open the drawer, and check the POD photo and timeline. The photo, GPS stamp and timestamps settle most disputes.

Why is a driver's job stuck on Pending Pickup?

Not all packages were scanned at the warehouse. The driver's card shows a 0/2-style counter; the Scan tab shows which packet is missing.

What happens to jobs left open at midnight?

The close-day job marks them failed with the reason “auto-closed: not completed by end of day”. They appear in Failed Jobs for redelivery booking.

A driver disputes their pay.

Open Payouts for the period and compare with the driver's own Earnings screen. Every payout row traces to a delivered order with photo and timestamp.

The driver app says location is required.

Location verifies deliveries and detects warehouse departure. Enable it “while using the app” in phone settings; see Starting your day.

How do drivers get notified of new jobs?

Inbox + WhatsApp, and push notifications once the app is installed to the home screen.
